Turning Training into Action: Leveraging GenAI for a Streamlined Onboarding Plan

Imagine this: You’ve just wrapped up three intensive days of alignment training with a newly reorganized team stepping into fresh responsibilities. The session is a resounding success—the participants have aligned with the department’s objectives and now clearly understand what’s expected of them from this point on. Fabulous!



The course sponsor is thrilled and reveals that over 50 new employees will be joining the reorganized department in the next three months. Moreover, the course has encompassed all the fundamental content these newcomers need to start their roles confidently. Now, you’re clearly being asked for something specific: an onboarding and training plan for the new hires based on this content.



Before diving in, take a moment to celebrate your expertise because you recorded every detail! With a three-month timeline to launch this initiative, it's the perfect opportunity to harness the power of GenAI and optimize every step. Here’s a simple, step-by-step process:


  1. Extract the Transcript: Use GenAI to transcribe the training session. This transcript will serve as a foundational document for crafting your content.


  2. Propose Content Segmentation: Ask GenAI to develop a content segmentation proposal. This proposal should then be reviewed and approved by the subject matter experts (SMEs).


  3. Identify Objectives: Define the goals of each segment and determine how each group within your organization should absorb the content.


  4. Design Learning Pathways: Create personalized learning pathways for each profile. Establish specific objectives and identify relevant KPIs—GenAI can even suggest ideas for these metrics.


  5. Generate Narratives: Use GenAI to craft a narrative for each segment by combining elements from the transcript, course slides, and additional reference materials.


  6. Create an AI Voice Narration: Deploy GenAI to generate an artificial voice for the narration. This voice will serve as the consistent narrator for your future eLearning modules.


  7. Develop an Interactive Learning Experience: Transform your slides into a compelling, interactive learning experience. Consider usability and engagement—if needed, consult GenAI for innovative design options.


  8. Integration and Flow Review: In my case, I used PowerPoint to build the slides, integrated the AI-generated voiceover, and meticulously reviewed the flow of each segment to ensure a consistent look and feel throughout.


  9. Engage SMEs as Advisors: Involve your SMEs to advise and approve the content, look and feel, usability, and activities. Don’t forget to integrate surveys for ongoing evaluation of both learning and content.


  10. Develop a Pilot: Create a pilot version of your eLearning modules (using PowerPoint) to test the approach before full-scale production.


  11. Transition to Production: Once the pilot tests successfully, move to production. For instance, I used Articulate to migrate PowerPoint into OWB—a process that is surprisingly straightforward.


  12. Deploy via the LMS: Upload the final modules into your company’s LMS (or a SharePoint site or another digital platform) and assign them to the respective profiles.


  13. Monitor and Optimize: Track completion rates, extract KPIs, and analyze feedback. Use these insights to update and enhance the training content continuously.



FINAL OUTCOME:


  • Month 1: Develop 4 tailored learning pathways for 5 different profiles, totaling 26 eLearning segments.


  • Month 2: Pilot testing to fine-tune the modules.


  • Month 3: Full-scale launch, change management, and implementation with active monitoring.


  • Month 4: Expansion as additional requests from other departments roll in.



This process not only streamlines the onboarding experience for new employees but also ensures that the training is aligned with your department’s strategic and operational goals. By capturing and structuring the training content, you’re able to design customized learning journeys that accelerate integration and support long-term success.
